Author Checklist/ Timeline:

Prior to the Conference:

 

  1. Create PowerPoint charts based on the guidelines provided at: http://ims2009.org/instr/tpc/prepare_present.pdf and http://ims2009.org/instr/tpc/IMS09_Slide_Guidelines_RC2.ppt
  2. PowerPoint Template available at: http://ims2009.org/instr/tpc/IMS09_Slide_Template.ppt. Use of this template is recommended, but optional.
  3. Submit charts to session chair/ co-chair for review by 22 May 2009, or sooner if possible. Session chair will be contacting you prior to that date. The goal of this review is to ensure that the IMS2009 presentations are of high quality. Your session chair will focus on the clarity of the presentation, the readability of the charts, and the length of the presentation.
  4. Make changes to your charts based on session chair/ co-chair recommendations.
  5. Upload your charts to IMS2009 servers for presentation. Detailed instructions are available at http://ims2009.org/instr/tpc/upload_present.pdf


    Note on using author’s own computer: The general policy is to not allow personal computers to be used because this causes very annoying delays. In cases where special effects (movies, or running software) are to be used, exceptions can be made. Please contact your Session Chairperson and copy tpchair@ims2009.org no later than 30 May 2009 to discuss the feasibility of implementing any special effects and to allow for any necessary room preparations.

     

 

After arriving in Boston in June:

 

  1. After arriving in Boston, please verify that your PowerPoint presentation is compatible with the IMS computers, by reviewing your presentation in the Speaker Prep. Room, BCEC room 212.
  2. Upload any last minute changes to your charts to the IMS2009 servers for presentation.
    • Detailed instructions are available at http://ims2009.org/instr/tpc/upload_present.pdf.
    • Bring a backup of your presentation on CD ROM or memory stick (just in case).
    • Do not bring transparencies -- overhead projectors will NOT be provided.
    • Do not bring 35mm slide – slide projectors will NOT be provided.
  3. Attend the Speaker Breakfast, in BCEC room 257AB, the morning of your presentation.
    • Meet session chair, co-chair, and fellow authors.
    • Review your biography with session chairs. Introductions must be kept short, so often the session chair will need to edit your biography.
    • Review any last minute logistical issue with session chairs.
    • Receive speaker gift.
  4. Arrive at your session room at least 10 minutes prior to session start.
  5. Note that 20-minute talks typically run 17 minutes with 3 minutes for questions, while 10-minute talks are usually 8 minutes with 2 minutes for questions.
